ShaDO-MD Roles & Responsibilities

ShaDO-MD serves solely as a shadowing matching service and does not guarantee a specific number of hours or makeup sessions for missed or canceled appointments. 

ShaDO-MD is not involved in medical school applications, including admission or securing recommendation letters. Participants should not request letters from physicians they have only shadowed. Instead, they are encouraged to build long-term relationships with doctors and notify the ShaDO-MD team in advance if they plan to request a letter.

Medical School Application Disclaimer

ShaDO-MD is not responsible for lost personal items or any injuries before, during, or after shadowing. Participants are accountable for their actions, including HIPAA violations, giving inaccurate information, or conflicts with patients; ShaDO-MD assumes no liability for such incidents.

Non-Liability Disclaimer

Non-compliance with the policies in this document will lead to immediate termination from the program and potential indefinite barring from future ShaDO-MD shadowing sessions. Participants must review, understand, and agree to the program's terms and conditions.

Participant Expectations 

Transportation and Health/Safety Requirements

Participants are responsible for arranging reliable transportation and meeting health/safety requirements, including vaccinations, as specified by shadowing sites. ShaDO-MD will provide health info, but participants must ensure compliance. Failure to complete required training or screenings (e.g., vaccinations, HIPAA) will bar participants from signing up for future shadowing opportunities.

Conduct Within Shadowing Facilities

Students are strictly prohibited from photographing or recording within the shadowing facility, including staff, physicians, or patients. Participants must follow HIPAA guidelines, maintaining patient confidentiality. Participants are expected to maintain professionalism, including respectful conduct towards staff, healthcare professionals, and fellow students, as well as adhering to any specified dress codes during shadowing sessions.

Accurate Reporting of Shadowing Hours

Participants must accurately record their shadowing hours and obtain a signed verification form from the supervising doctor. Forging signatures or falsifying hours will lead to suspension from current and future ShaDO-MD sessions. ShaDO-MD is not responsible for any misrepresentation by participants.

Additionally, all personal information provided to ShaDO-MD must be accurate. Misrepresentation may result in termination from the program and exclusion from future ShaDO-MD sessions.

Privacy and Confidentiality Obligations

Participants must not share any personal contact information of individuals in the program without explicit consent, including fellow students' and physicians' details. Sharing patient information is also a violation of HIPAA regulations and is strictly prohibited.

Student Cancellation Policy 

If students want to cancel their shadowing slot, they must remove their sign-up from the SignUpGenius AND email info@shado-md.com at least 48 hours before the shadowing appointment. Please ensure that your email includes the following information:

Subject: Canceling Shadowing Appointment

  1. Full name 

  2. Shadowing appointment time, date, and physician for which they are canceling

  3. Reason for cancellation

Notably, a student who cancels more than 3 shadowing appointments in a single semester will no longer be eligible to shadow with ShaDO-MD that semester. This policy is in place to ensure a fair and respectful use of physicians' time. Emergency-related cancellations will not count toward the three-shadowing appointment limit.

In case of an emergency preventing a student from complying with the 48-hour notice requirement, the student should promptly text ShaDO-MD through the contact number 240-847-4880. This contact is also for situations where issues arise at the shadowing site, such as unexpected clinic closures.

Participant comments or feedback may be used within the organization for informational or improvement purposes. Additionally, in the future, ShaDO-MD may request students to provide a quote about their experience for potential inclusion on the website or any promotional material. Participants will be notified and allowed to consent before any such usage occurs.

Participant Feedback Usage
